The 8-Step Tadano Parts Checklist I Built After $4,200 in Mistakes

I've been handling Tadano crane parts orders for 7 years. In that stretch I've made four significant mistakes that cost us roughly $4,200 total — a wrong swing bearing that never fit, a load chart pulled from the wrong model year, and two smaller shipping and spec errors I'd rather not rehash. I now maintain the 8-step checklist below, and it's caught 31 potential issues in the past 20 months.

1. Confirm the exact machine — model, year, and serial number

Model alone is not enough. Tadano's ATF and Demag lines had mid-cycle updates that changed part compatibility. I once ordered a swing bearing for an ATF 110G-5 based on the model number my customer gave me, without asking for the serial. It showed up, we tried to mount it, and the bolt pattern was off by a few millimeters. That's $3,800 gone (plus a 6-day rental extension we had to eat).

Before you place any order: get the serial number, the delivery year, and the current hour meter reading. Demand all three.

2. Pull the load chart that matches your configuration

5. Check lead time against your rental schedule, not your calendar

I used to check lead times in isolation. Then a 3-week wait on a hydraulic pump collided with a signed rental contract and we paid penalties. Now I lay the lead time against the actual project dates before clicking order. If the gap is under 4 business days, I either expedite or I tell the customer up front.

6. Plan the logistics — small parts and heavy parts are two different problems

Small parts come in something; heavy parts come on something. For anything over 200 lbs, I now confirm the receiving equipment at both ends before shipping. Our yard uses a small forklift, but some customer sites only have a boom lift or hand unloading. One bucket bag of small fittings is nothing; a crate that needs a Hess truck to unload is a whole different conversation (note to self: always ask about dock height).

7. Clarify return, restocking, and warranty terms in writing

If the part doesn't fit, who eats what? Most sellers charge 15–25% restocking. Some charge nothing if the part was mis-shipped by them. Get this in an email before you pay. And take a photo of every package before opening — I've had two disputes settled by a single unboxing video.

8. Log every order and every part in one place

When you're juggling parts across multiple cranes — whether it's a top loader vs front loader configuration difference or the same model at three sites — you need a paper trail. I use a shared spreadsheet with columns for: date, machine serial, part number, source, cost, lead time, and outcome. It's boring. It's saved me twice this year alone.

Things That Still Trip People Up

  • Assuming all Demag parts cross-reference to Tadano post-2019. Most do. Not all. Verify.
  • Trusting a load chart without checking the revision date. The revision number matters as much as the tonnage.
  • Ordering "the same one as last time" without rechecking the serial. Fleets rotate. Machines migrate. Serial numbers don't lie.
  • Skipping the receiving inspection. Open the box, count the parts, confirm the number on the part itself matches the paperwork. Five minutes, every time.

Bottom line: 5 minutes of verification has beaten 5 days of correction every single time I've actually done it. Most of my worst mistakes were preventable with a checklist I had access to and just didn't use.
